Each of us would do well to check our state licensing requirements regarding employee access to personnel files.

Overall, my understanding is that we need to:

1. Keep files up-to-date; 2. Allow employees access to their files; 3. Allow employees to photocopy items from their file. 4. Keep a record of when each employee accesses her/his file. 5. If advisable, to supervise/oversee the employee's time w/ her/his file. 6. Ensure that the file does not leave the office.

Beyond these 6 requirements, I would like to hear what your state expects you to do.

There is also the question about whether the federal "Freedom of information" act allows employees, regardless of what state they are in, to access their files. Is anyone more up-to-the-minute on this than I am?

Also, what is your program's policy on how long you retain employee and student files?

My goodness, now we need to be achivists too!
