Another great question. The observer is expected to call the candidate within 48 hours of receiving the observer materials. She should make an appointment for the visit - that appointment should ideally be for a date within 30 days of the phone call unless there are unusual circumstances. Sometimes an observer is restricted to the times that she (or he) is available, but most observers are able to work with a provider's schedule.
The visit should be scheduled for a "typical" day. That really means that it should be a day when the most children are in care, there isn't a field trip planned unless that's a regular part of the program, there aren't other visitors to the program (again, unless that happens regularly), the day isn't a holiday or other "special event" and the provider and children are able to stay with the regular routine as much as possible.
